Job Opportunity – Administration Coordinator needed

Job Summary: The Administration Coordinator will develop coordinate, implement and monitor administrative plans and procedures in accordance with the AAI/AAU organizational, national and International policies.

Duty Station: Kampala, Uganda

Key Duties and Responsibilities:

  • Develop, appraise, support and maintain a competent & motivated ‘administration departmental team” through giving constructive feedback, coaching and mentoring, in accordance with the human resources manual.
  • Analyze procurement requests and develop service contracts/agreements for outsourced services and regularly monitor the performance of service providers to ensure that the contracts are respected in line with organisation procure goods and services for respective stakeholders in line with the finance policy and Business strategy.
  • Coordinate and ensure maximum security of the staff and organization assets/properties by periodically carrying out an assets auditing to review the reliability and integrity of assets management information & activities and make appropriate recommendations to curb the gaps in line organisational policies.
  • Manage the fleet in AAU in the most cost effective way.
  • Take lead and coordinate the acquisition, maintenance, storage and disposal of AAIU assets in line with the Finance Policy.
  • Contribute to the development, review of and monitoring of the AAU Administration — related policy.
  • Liaise with stakeholders to fulfill the legal obligations of the organization.
  • Develop and lead the implementation of policies and standard operating guidelines for general administration, transport and travel and provide administrative and logistical support to staff and visitors.

Qualifications, Skills & Experience:

  • The applicant should hold a Bachelor’s degree in Business Administration or Public Administration with post graduate studies in related field.
  • Additional training in; Procurement and logistics management, CIPS is added advantage
  • At least three to four years relevant from a reputable organization, preferably an NGO.
  • Prior knowledge of; Public procurement and disposal of public assets, Procurement processes in DFID, USAID, Donor funded projects and EU guidelines, Contracting for goods and services.

He Participated in The New Dawn photography campaign aimed at rebranding Northern Uganda-USAID/NUTI Project (2010). Philimon is in love with photography, writing, reading, sharing new ideas and interacting with reasonable people for skills development.
