Key Duties and Responsibilities:
- Meeting preparation: Responsible for the preparatory work before the meeting, including determining the meeting agenda, making the meeting schedule, sending the meeting notice and providing relevant documents to the participants.
- Meeting minutes: Record the entire meeting contents, including the speeches of participants, key points of discussion, decision results, action plans and other important information to ensure accuracy and completeness.
- Meeting summary: Organize and write meeting minutes or meeting summaries, summarize the main points discussed and the results of decisions, highlight important information and action items. The content of the minutes should be concise and clear, in line with the company’s specifications and format requirements.
- Document management: Responsible for organizing, managing and maintaining internal and external documents and documents, including contracts, reports, specifications, policies, process documents, etc. Ensure documentation integrity, accuracy, and availability.
- Document classification and archiving: Documents are classified, numbered and archived according to the company’s document management standards and requirements. Establish and maintain document file system to ensure orderly storage and fast retrieval of documents.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in Records management or any other related profession, major in document management, information management or related is preferred.
- At least two years of document control or document management related experience, document control and management system operation experience is preferred.
- Understanding laws, regulations and standards related to document management, and can ensure that document management meets compliance requirements.
- Have a high degree of confidentiality awareness of confidential documents and information of the company, and be able to strictly comply with relevant regulations and policies.
- Proficient in Office software, such as Microsoft Office, familiar with file management system and electronic document management tools.
- Good oral and written communication skills, able to communicate and collaborate effectively with people in different departments.
