Office Assistant Job – World Vision International

Job Title:  Office Assistant (Fresher O’ Level NGO Jobs)

Job Summary:  The Office Assistant will be responsible to maintaining the office premises ensuring cleanliness of offices, compound and will be responsible for managing the office kitchen.

Key Duties and Responsibilities:

  • Cleaning offices regularly
  • Ensure the offices are mopped daily (sometimes twice a day when needed).
  • Ensure office windows, doors and walls are dust and cobwebs removed from the ceiling.
  • Office waste bin are emptied regularly as well as cleaning of dustbins.
  • Ensuring the hall is always cleaned and chairs dusted all the times.
  • To clean and maintain office washrooms /restrooms
  • The washrooms are scrubbed daily including dusting on wash tanks, doors and windows.
  • Timely replenishment of toiletries (toilet paper, toilet balls, liquid/hand washing soap).
  • Timely replenishment of hand washing water and detergent.
  • To prepare tea for staff and visitors
  • Prepare tea for staff and serve for guests.
  • Wash utensils immediately before and after staff have used them.
  • Maintain a clean kitchen at all times.
  • Clean and maintain stores and archive rooms.
  • Ensure routine cleaning of the office stores and archive room daily including cobwebbing and dusting.
  • Ensure routine service of office machinery and assets.
  • Any other duties assigned.
  • Issuing of items from the store
  • The staff is expected to be at office at all times.

Qualifications, Skills and Experience:

  • The applicant for the World Vision Office Assistant job must hold a Certificate in social work and social administration
  • At least two years of related work experience
  • Professional, motivated, open, creative, mature, responsible, flexible and, culturally sensitive
  • Strong leadership, organizational and analytical skills, and ability to work under pressure
  • Excellent verbal and written skills in English
  • Good time management.
  • Excellent computer skills, particularly with Microsoft Excel, spreadsheets and word
  • A high level of integrity is required.
  • Ability to communicate well with staff and visitors at all levels.
  • Must be a committed Christian, able to stand above denominational diversities. Willing to attend and participate/lead in daily devotions and weekly Chapel services.

  • Fluency in English both spoken and written and knowledge of one of the local language (Kiswahili, Rutoro, Ruyankole and Rukyiga) spoken in the area is an added advantage.
