Infectious Diseases Institute (IDI) is an independently governed institute within the College of Health Sciences at Makerere University and has the mission “To strengthen health systems in Africa, with a strong emphasis on infectious diseases, through research and capacity development.” IDI has operations across Uganda as well as in a number of other African countries and has a staffing of over 1,000 managing multiple projects in research, clinical services, public health and training.

Job Summary:  IDI’s Grants Management Unit supports the entire grants cycle from opportunity identification, to award negotiation and stewardship through to close-out. The Unit is rapidly growing and currently handles over 100 active grants (and many others in the pipeline) from multiple funders.

The GCO (mainstream) will primarily support management of active grants including communication with IDI management and multiple grant stakeholders (including donors) as well as supporting programmatic and financial monitoring and reporting for funded activities and programs.

Key Duties and Responsibilities:

  • Program Performance Monitoring and Reporting: Monitor progress of assigned projects towards achievement of project goals and objectives; communicate with and report to internal and external project stakeholders including project managers and funders.
  • Finance Support and Reporting: Establish and communicate financial management Guidelines for specific grants; enforce relevant IDI and/or funder-specific policies and Procedures; monitor project budgets; determine financial reporting needs and coordinate the Reporting process with the Finance department; prepare financial reports to meet specific Funders’ requirements; communicate related information to internal and external stakeholders
  • Compliance Assurance: Maintain, file and make available compliance requirements for Specific grants for stakeholders’ use; ensure that all aspects of project planning and execution. Comply with the applicable regulations and with best practice; support review of funding and Other documentation to ensure that IDI complies with funder and program requirements.

Qualifications, Skills and Experience:

  • The applicant must hold a Degree in any relevant field, including finance, accounting/audit, management or general business administration
  • A minimum of three years’ professional work experience, with proven ability to interact effectively with colleagues of various backgrounds;
  • Superb organizational skills, including the ability to manage multiple projects simultaneously in a fast-paced and dynamic environment.
  • Exceptional communication skills; excellent written and oral English.
  • Skill and experience in budget preparation and fiscal management.
  • Advanced analytical, evaluative and objective critical thinking skills.
  • Well-developed interpersonal skills and ability to interact at the most senior corporate, donor and academic levels and within a multi-cultural environment.
  • Proficiency in computer systems including Microsoft applications; high level of skill in using MS Excel.
  • Experience in grants management (particularly related to health) and donor relations preferred but not required.
  • Familiarity with MS-Navision software is preferred but not required.
