Job Title:    IT Assistant/Personal Assistant to the Executive Director

Reports to: Executive Director

Job Summary:  Family Concepts Center is looking for an IT Assistant/Personal Assistant to the Executive Director to support the organization in essential aspects of IT work. S/He will offer vital support to the FCC resource Center, including liaising with other departments to keep the organization’s networks and systems working to their optimum levels. The IT Assistant will also double as Personal Assistant to the Executive Director. As personal Assistant S/he will Assist the Executive Director in administrative tasks such as planning and scheduling events, handling correspondence and managing the ED’s Calendar.

Key Duties and Responsibilities:

As IT Assistant

  • Helping to install, configure and maintain the organization’s IT framework
  • Setting up hardware and software applications as and when required
  • Providing general support for the resource Center and the organization’s computer users
  • Installing and maintaining various peripherals as well as installing relevant updates and patches
  • Handling customer and colleague queries regarding networks, systems and applications, preferably through a help desk.
  • Various ongoing tasks such as checking and proofreading content, data entry, database maintenance and using printers, copiers, etce
  • Manage the Resource Centers digital library
  • Actively contribute to organization blogs and manage e-communications
  • Support the Resource Center’s training and other activities

As Personal Assistant

  • Handling and responding to all correspondence including phone calls, emails and letters
  • Scheduling appointments and organizing diary entries
  • Setting reminders for meetings, appointments and other important tasks
  • Making travel and hotel arrangements
  • Planning conferences, workshops, seminars and other events
  • Taking notes at meetings, preparing the minutes and subsequently distributing to all participants
  • Liaising with other members of staff and external parties such as clients and press
  • Preparing expense reports and maintaining a filing system

Qualifications, Skills and Experience:

  • Uganda National Certificate in Computer science from a recognized tertiary training institution
  • National Certificate in Information and Communications Technology
  • At least one year of practical IT experience
  • Related qualifications including in professional Secretarial services
  • Attention to detail
  • Ability to communicate well with others, from end users to senior management, will be a major advantage, as will an analytical mind and a strong urge to succeed.
  • Ability to adapt to new innovations as and when they come along
  • Excellent organization and people management skills
  • Strong command of the English language
  • Ability to prioritize and multitask efficiently
  • Working knowledge of standard word processing, spreadsheet and other productivity software tools
  • Discretion and tacto

Compensation/Salary: This position offers a negotiable but competitive salary
