About US:

UGAFODE Microfinance Limited (MDI) is a registered financial institution in Uganda and is adherent to the Central Bank’s regulations and guidelines and was founded in 1994 to provide quality microfinance services.

 

Job Summary: The Office Assistant (Head Office) will be responsible for administrational support to the institution in the areas of: providing delivery services and mail management (incoming and outgoing); ensuring such mail handling procedures are routinely undertaken, office/premise are kept clean and timely provision of refreshments as may be needed in an efficient manner to aid business operations in line with UGAFODE internal policies and procedures.

 

Key Duties and Responsibilities:  

  • Mail Management-Delivers packages and mails or any other information to specific people, places and offices in line with UGAFODE policies. Such may include though not limited to: Bank of Uganda, Utility Offices, Local Board Members, Financial Partners and other service providers and as may be directed from time to time.
  • Managing stock of essential supplies: Making requisitions for supplies of sugar, tea leaves, toiletries and stationery and maintaining proper records so as to manage them efficiently and effectively within the budget.
  • Supply refreshments, teas, bites and water for smooth running of office operations in a timely manner with due regard to safety standards and procedural controls of the bank at all times.
  • Ensure adherence to UGAFODE set standards and controls regarding; internal service level agreements between staff and departments, complaint management processes, staff conflict resolutions, service turnaround time and occupational safety and health by implementing measures aimed at guaranteeing an effective and efficient process as support staff.
  • Reporting and accountability for all advances made i.e. cash against procurement budget related to the office support function in a timely manner.
  • In charge of advance arrangement of office meeting by ensuring that the premises are clean, refreshments are availed, chairs and tables are in order and in time to support bank business operations as may be required.
  • Perform general clerical duties to include but not limited to; photocopying, filing and record keeping or as may be requested from time to time.

Qualifications, Skills and Experience:

  • The applicant for the Office Assistant (Head Office) must hold an Ordinary level (UCE) or equivalent. Any formal or informal training in office management is added advantage
  • Any work experience related to the work.
  • Basic computer skills and knowledge of bank business and internal processes.
  • Extremely high levels of integrity, responsibility and confidentiality.
  • Good time management, decision making, swiftness and attention to detail.
  • Good interpersonal skills and Self-expression.
  • Good planning & Organization skills.
