Job Title: Registry Officer

The Public Procurement and Disposal of Public Assets Authority (PPDA) is established under the PPDA Act No.1 of 2003 to formulate policies and regulate procurement and disposal practices in respect of all procuring and disposing entities which include Central Government Ministries and Departments, Local Governments, State Enterprises, Constitutional and Statutory Bodies and Post Primary Training Institutions.

Job Summary: The Registry Officer will provide high quality records management services and assist in the development, promotion and implementation of records management best practices within the Authority.

Key Duties and Responsibilities:

  • Process records by creating paper and electronic folders.
  • Register, classify and route incoming correspondences, documents and other materials.

  • File and retrieve information in accordance with records management procedures.
  • Quickly respond to inquiries regarding files, correspondences and references.
  • Dispatch outgoing communication, transmission of fax messages and e-mails.
  • Forward files for action.
  • Monitor file movement and supervise regular file census.
  • Oversee the movement of records between storage areas.
  • Ensure that access to records is properly controlled.
  • Manage the location and storage of records, including: conducting an annual records audit; organizing the disposal of records in accordance with their retention schedule.
  • Performing any other duties assigned by the supervisor.

Qualifications, Skills and Experience:

  • The applicant should possess an Honours degree in Records/Archives Management or Library and Information Science from a recognized University/Institution.
  • Credits in both Mathematics and English at O’ Level.

  • A minimum of one (1) year’s relevant experience from a reputable organization.
  • Excellent IT Skills with specific application to filing system
  • Good problem analysis and solving
  • People skills

  • Skills in report writing
