Job Summary: The Receptionist will attend all incoming and outgoing fax and direct to the respective employees.  The Receptionist will also be responsible for providing secretarial, clerical and administrative support  in order to ensure that municipal services are provided in an effective and efficient manner.

Key Duties and Responsibilities:  

  • Process all incoming, outgoing calls and inter office calls and keep message for the respectively employee according to request/direction given.
  • Attend all incoming and outgoing fax and direct to the respective employee
  • Responsible for arrangement and filing of all documents and give directives to all guests and customers in the company area.
  • Responsible for keeping and assisting on various Company internal forms are in place, proper filled and signed by required Managers
  • Cooperate with office attendant on arranging Company meeting place and any refreshment required.
  • Work in liaison with the Storekeeper on making sure offices stationary are available.
  • Responsible for arrangement, documentation and filling of all documents
  • Type letters, minutes, various documents and reports and handle confidential and sensitive information.
  • Ensure that office working tools (stationeries) are in good order.
  • Maintain a register detailing records for incoming and outgoing mails and files.
  • Communicate information by typing, sending and receiving emails/faxes.
  • Keep diaries and make appointments for and on behalf of the company managers and employees.
  • Organize and follow up on travel and related logistics for meetings, field visits, and any other programs of the managers and employees.
  • Attend and register to all visitors by directing them to the respective offices and Assist them to take message where necessary/ Forward messages to appropriate offices.
  • Report any bad events occurring in his/her place of work and ensure that the reception area is clean and tidy all times.
  • Regularly check meeting rooms, ensuring that they are clean, tidy and ready for us.
  • Ensure that any messages are delivered promptly.

Qualifications, Skills and Experience:  

  • The ideal candidate should hold a Diploma in front office management /Secretarial or its equivalent from a recognized Institution.  Possession of a Degree / diploma in business Administration is an added advantage.
  • At least two years’ experience in a well-established company
  • Highly computer literate i.e. proficient in spreadsheets, word processing, and database management
  • Working knowledge of Tally shall be an added  advantage,
  • Fluent in both spoken and written English
  • Self-motivated, innovative, trustworthy and sound work ethics
  • Excellent interpersonal and communication skills
  • Pleasant disposition and has a presentable personality
  • Multitasking abilities
  • Excellent organizational and Planning skills
  • Ready to work under high pressure
